Benefits Operations Manager

The Benefits Operations Manager oversees the administration of employee benefit programs, ensuring operational excellence, compliance, and a seamless employee experience. This role manages vendor relationships, partners with internal teams, and serves as a key escalation point for benefits-related inquiries.

Responsibilities

  • Oversee day-to-day administration of employee benefit programs including medical, dental, vision, life insurance, and COBRA.
  • Manage the relationship with the benefits administration vendor, ensuring service level agreements and performance standards are met.
  • Manage the benefits portal to ensure Annual and Ongoing enrollment is executed with a great emphasis on employee experience.
  • Partner with Payroll and HRIS teams to ensure accurate setup and maintenance of benefit deduction feeds.
  • Monitor and manage carrier file feeds, including regular audits and reconciliations to ensure data accuracy.
  • Ensure compliance with federal and state regulations, including the Affordable Care Act (ACA), ERISA, HIPAA, and COBRA.
  • Serve as the escalation point for complex employee benefit questions and issues.
  • Support annual open enrollment processes and other benefit-related projects and initiatives.
  • Maintain documentation and assist with regulatory filings and audits as needed.

Knowledge, Skills & Abilities

  • Strong knowledge of employee benefit programs and administration practices.
  • In-depth understanding of federal and state regulations applicable to benefit plans.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills with attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Excellent analytical and problem-solving skills.
  • Ability to maintain a high level of confidentiality and professionalism.
  • Proficiency in HRIS, payroll systems, and benefits administration platforms; ability to quickly learn new systems and tools.

Requirements:
  • Bachelor's Degree in Business, HR, OR related field preferred
  • 5+ of experience in benefits pperations
  • 3+ years of experience in supervisory/ leadership roles
  • Excellent communication, analytical and problem solving skills
  • Proficient with data manipulation functions in Microsoft Excel (Pivot; vlookup)
  • Ability to travel up to 10% as needed
  • Effective collaborator who builds strong relationships with HR partners and business leaders
  • Strong vendor management skills
