***This position is based out of our Frisco, TX headquarters. Hybrid based - in office Tuesday, Wednesday, and Thursday or option to be 100% onsite.***

The Associate HR Operations Leave Specialist is part of the myHR team, a world-class, value-added, and customer-focused team that works in partnership with other functions to provide strategic, simple, and efficient solutions for our employees. The position is responsible for managing and administering all aspects of employee leaves of absence, ensuring compliance with company policies and relevant regulations. This role requires a proactive individual with excellent organizational and communication skills, as well as a strong understanding of leave management processes.

Your Responsibilities will include:

  • Leave Administration:
    • Liaison between Third party Leave administrator and KDP HR team to provide seamless support for leave absence administration process, including but not limited to FMLA, ADA, Short -term disability, long-term disability, and personal leaves
    • Serve as the primary point of contact for employees and managers regarding leave requests, providing guidance and support throughout the process. 
  • Customer Service:
    • Provide direct support to employee’s needing assistance on maneuvering complex leave claims i.e.: Leave denials and appeals process, guidance on return to work, reasonable accommodations, concurrent leaves such as WC & FMLA, and comprehending leave polices.
    • Ability to deal with various situations that may arise during the leave process, such as disputes, grievances, complaints, or emergencies.
  • HR Program Administration & Consulting:
    • Ensure proper management of all administrative aspects of leave claims to include tracking hours used/taken; return to work data; file reviews and working closely with the Managers, HR, Benefits, and payroll to ensure that key dates, details, and status for associates is accurate and correct.
    • Advise on leave policies, procedures, and provide updates to employees, managers, and HR partners.
    • Collaborate with the HR team to assess and coordinate reasonable accommodations for employees returning from leave.
  • Data Reporting and Analysis:
    • Generate reports and analyze leave data to identify trends, patterns, and areas for improvement.
    • Provide regular updates to HR leadership on leave metrics and trends.
  • HR Systems:
    • Provide support to employees, managers, and HR Business partners on basic transactions in the HR System (Workday).
    • Assist in interpreting leave of absence notifications provided by leave administrator with Management/HRBP teams.
    • Under general supervision, make systems updates, corrections, and support audits for Monthly Cycles such as Kronos Audit process.
    • Maintain data integrity and respond to third party inquiries with appropriate information related to Return to work, State notices, Overpayment research, processing leave related terminations, placing employees on Personal, administrative, WC/State leaves of absence. As well as verification of hours related to FMLA.
  • Project & Process Management:
    • Lead and/or participate in small to medium process improvement initiatives that require a basic working knowledge of project management.
    • Design Standard Operating Procedures that outline step by step solutions for common requests in HR Service Categories.
  • Documentation and Compliance:
    • Liaison with HR Business Partners and specialists to interpret and respond to inquiries on HR policies and procedures during the full employee lifecycle. Adhere to documented procedures in executing strategy and ensures compliance to applicable regulations.
    • Ensure accurate and complete documentation for all leave cases, including medical certifications, communication records, and other relevant paperwork.
    • Stay informed about federal, state, and local laws and regulations related to leaves of absence, ensuring compliance with all applicable legislation.

Requirements

Education & Experience:

  • BA/BS in Human Resources, Management, or a related field or professional experience equivalent preferred
  • Minimum 2+ years of benefits and leave of absence management, disability management and/or FMLA administration experience preferred
  • Knowledge and understanding of federal and state legislation, rules and standards related to absence management programs coordination
  • Experience in handling complex leave cases
  • Union experience highly preferred
  • Expert collaborator who builds strong relationships with HR partners, business leaders and third-party vendors.
  • Strong written and verbal communication skills required
  • Proficient with Microsoft Office (Work, Excel, PowerPoint, Outlook) product suite
  • Familiarity with HRIS systems; Workday & ServiceNow preferred
  • Experience thriving in a fast-paced, dynamic, flexible, team-oriented environment, with the ability to navigate competing priorities while maintaining extreme attention to detail.
  • Ability to build and manage strong, collaborative working relationships and carry high credibility with cross-functional teams.
