Executive Assistant to the CEO

Reporting directly to the CEO, the Executive Assistant provides executive and administrative support to the CEO. The Executive Assistant serves as the primary point of contact for internal and external constituents on all matters pertaining to the CEO. The EA must thrive working in a fast-paced, results-driven environment, balancing multiple priorities at once and anticipating needs of the CEO. Must also exercise impeccable judgment in a variety of situations and handle confidential matters with the utmost professionalism and discretion.

KEY RESPONSIBILITIES

The Executive Assistant assists the CEO in all executive and administrative matters: calendar management, internal & external correspondence and travel management.

  • Acts as first point of contact for internal and external parties seeking to connect with the CEO. 
  • Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. 
  • Provides sophisticated calendar management: prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day to day operations
  • Assembles electronic materials for CEO/Executive team meetings, ensuring distribution in a timely manner
  • Anticipates needs in advance of meetings, conferences, etc. Prioritize daily schedule and commitments accordingly.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Arranges complex and detailed travel plans, itineraries, and agendas, including scheduling the corporate aircraft.  Submits expense reports in a timely manner.
  • Builds rapport and collaborate effectively with the CEO, Executive Leadership Team, and other Executive Assistants and Administrative Assistants.
  • Coordinates attendance at internal and external meetings (i.e. KDP Board, external Board, special meetings & events)
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting/editing presentations and correspondence, as well as other tasks that facilitate the CEO’s ability to effectively lead the company.

Requirements

  • 7-10+ years of experience supporting C-level executive(s) in a fast-paced environment
  • Experience supporting a CEO is preferred
  • Experience with a public company is a plus
  • Bachelor’s degree preferred
  • Expertise with the most current versions of MS Office applications (Word, Excel, PowerPoint and Outlook)
  • Excellent writing, editing, grammatical, organizational, and research skills
  • Strong organizational skills and superior attention to detail
  • Exceptional interpersonal skills and the ability to build relationships with stakeholders, both internal and external
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
